This set of preferences allows you to define the parameters for exporting output. These preferences are as follows:

Note:    The following list includes all possible options, however, not all options may be enabled/visible in the application you are using.

Note:    Once you have defined your preferences, you must click the Apply button to save your changes and apply these to the application.

Option

Description

Export

This option specifies what portion of the report is being exported. There are two options:

Whole Report - exports the entire report.

Portion displayed only - exports only that portion of the report that is visible on the current page. Please note, rows and columns that exceed the Grid Display preference for maximum rows and columns will not be included on the portion being displayed and WILL NOT be included in the export. Rows or columns that DO NOT exceed the Grid Display preference for maximum rows and columns but that you must scroll on your screen display to view WILL be included in the export.

Note:  This option works with the Expand All Page-By Fields to determine what output data is included in the export.

Export grids to

This option specifies the default selection when exporting a grid. Although this is the default selection for the export, you may still change the export format when exporting a report if you have enabled the Show Options when Exporting preference. There are five options as follows:

Excel with plain text - exports to Excel format (XLS file extension) with plain text. No report formatting (e.g., grid formatting, banding, etc) will be exported with the data. The data is available to work with as needed.

CSV file format - exports to a comma separated values (CSV) text file format. This will include column headers separated by commas. The data is available to work with as needed.

Excel with formatting - exports to Excel format (XLS file extension) with formatting as displayed within the application (e.g., colors, grid formatting, bending, etc). The data is available to work with as needed.

HTML - export to an HTML file (HTML file extension). The HTML file layout uses the formatting being viewed within the application. The exported data is static and may not be modified.

Plain text - exports to a text file. When this option is selected you must specify the delimiter between values (e.g., comma, tab, semicolon, space, tilde).

Note: When you have specified to display options on export, there is an additional option to export to PDF. This is not an option available for the default setting on the preferences setup.

Exports graphs to

This option specifies the default selection when exporting a graph. Although this is the default selection for the export, you may still change the export format when exporting a report if you have enabled the Show Options when Exporting preference. There are two options as follows:

Excel with formatting - exports to Excel format (XLS file extension). If you have selected the option to "Export graphs as live Excel charts", this will include the data that supports the graph but the data is on a separate worksheet. The worksheet is hidden and the row height for the data rows on that hidden worksheet are set to zero. If you unhide the worksheet (titled ChartData), you must also resize the rows to view the underlying data.

HTML - exports to an HTML file (HTML file extension). The HTML file layout uses the formatting of the graph as viewed from within the application. The underlying data is not exported in the HTML file if exporting from the Graph view, but the data grid for the underlying data is included when exporting from the Grid and Graph view of the output.

Note: When you have specified to display options on export, there is an additional option to export to PDF. This is not an option available for the default setting on the preferences setup.

Export HTML documents

This option specifies the default selection when exporting an HTML document. Although this is the default selection for the export, you may still change the export format when exporting a report if you have enabled the Show Options when Exporting preference. There are two options as follows:

HTML - exports to an HTML file (HTML file extension). The HTML file layout uses the formatting document as viewed from within the application.

Excel with formatting - exports to Excel format (XLS file extension). Only grid data is exported from the HTML document, graphs are not exported.

Note: When you have specified to display options on export, there is an additional option to export to PDF. This is not an option available for the default setting on the preferences setup.

Export Report Title

This option specifies if the report name is included in the export. When checked, the report name is included in the export. If not checked, the report name is not included in the export.

Export Page-By information

This option specifies if the Page-By information is included in the export. When checked, the page-by information is included in the export. If not checked, the page-by information is not included in the export.

Export filter details

This option specifies if the filter details are included in the export. When checked, the filter details are included in the export. If not checked, the filter details are not included in the export.

Export Header and Footer

This option allows you to enable and define header and/or footer to be included in the export layout. When you click the Edit Custom Settings button, the Sheet Header/Footer Editor page is presented. This page allows you to define one header and/or footer to be included on each page of the export output. You also must specify where the export header/footer is placed relative to other header/footer defined in the report definition (e.g., before, after or in place of the header/footer from the report definition).

This option allows you to define one header and/or footer that is left justified in the export output. You may type in static content and/or specify dynamic content based on Auto Text selections for the header and/or footer. There is a drop down list of system defined auto text values (e.g., Report Name, User Name, Filter Details etc) that you may select to insert in the header (e.g., when you select Report Name to be placed in the header, the insertion text is formatted as &[Report] and instructs the application to insert the name from the report definition).

Remove extra column

This option allows you to specify if you wish to remove the extra column header that is inserted for the metrics (all metrics are placed together in the report layout template and are moved together as one report object; there is an extra column header titled "Metric"). There are three options for selection; Yes will include the extra column header, No will omit the extra column header, Automatic uses the setting on the report definition to determine if the extra column is included.

Note: When viewing the output from the Report Output page, you may hide the extra column through the Report Options setup from the Tools menu. There is a checkbox to specify if the extra column is removed or included in the view of the output in the grid.

Expand all Page-By fields

This option handles the export of output when using attributes in the Page-By panel. When checked, all combinations of page-by attribute values are included in the export output. If not checked, only the current page-by attribute values are exported. If you are not expanding the export to include all page-by attribute combinations, you will not be exporting the entire report.

Excel options

This set of options specify the parameters for exporting to Excel. These options include:

Version of Excel - this drop down list allows you to specify the version of Excel being used.

Export Metric values as Text - this option specifies if the metrics are exported as numbers or text. When checked, the metric values are exported as numbers and Excel may format the numbers (e.g., round to 2 decimal precision). If not checked, the metric values are exported as text and no numeric formatting is applied.

Export Headers as Text - this option specifies if the header values are exported as text or as formatted in the report. When checked, the header contents are formatted as text. If not checked, the header values are exported as formatted in the output.

Excel with formatting options

This set of options specify the parameters for exporting to Excel with formatting. These options include:

Place each page on a separate sheet - this option specifies if each page of output is placed on its own worksheet within the exported Excel file. When checked, each "page" of data is exported to its own worksheet within the Excel file. If not checked, the output will be exported to one worksheet within the Excel file.

Always export graphs as live Excel charts - this option specifies if a graph output is exported as a static bitmap or an active chart within the Excel file. When checked, the graph is exported as a live Excel chart. If not checked, the graph is exported as a bitmap.

Note:  When exporting graphs as live Excel charts, this will include the data that supports the graph but the data is on a separate worksheet. The worksheet is hidden and the row height for the data rows on the hidden worksheet are set to zero. If you unhide the worksheet (titled ChartData), you must also resize the rows to view the underlying data.

Embed images - this option specifies if images are embedded in the exported Excel file. When checked, the images are embedded in the exported file. If not checked, the images are not embedded in the exported Excel file. This option applies to any images placed in headers and/or footers within the report or export formatting. This does not apply to the graphs that are converted to bitmap images when the option to export graphs as live Excel charts is NOT enabled.

Show options when exporting

This option specifies if the application export options are presented when exporting a report. When checked, an options page is presented that allows you to modify any of the export parameters defined in this preferences set. This prompt page also has an checkbox option labeled "Do not prompt me again".

Note:  If you choose to display the Options page when you export a report you may modify these default export settings. If you check the "Do not prompt me again" box on the Options page, your export preferences setup is updated with the current settings selected for that export request and the Options page will NOT be presented when exporting going forward. You would have to access the Export Reports preferences again to reset your preferences and re-enable this option to display the Options page when exporting reports.
