This set of preferences allows you to define the parameters for printing output via Print Reports (PDF) option. These preferences are as follows:

Note:    These preferences are only enabled when the "Use PDF for printing reports" option is not checked on the General Preferences. If this option is checked, the PDF Report preferences will not be visible.

Note:    The following list includes all possible options, however, not all options may be enabled/visible in the application you are using.

Note:    Once you have defined your preferences, you must click the Apply button to save your changes and apply these to the application.

Option

Description

Export

This option specifies what portion of the report is being output to PDF. There are two options:

Whole Report - exports the entire report to PDF format for printing.

Portion displayed only - exports only that portion of the report that is visible on the current page to PDF output. Please note, rows and columns that exceed the Grid Display preference for maximum rows and columns will not be included on the portion being displayed and WILL NOT be included in the export. Rows or columns that DO NOT exceed the Grid Display preference for maximum rows and columns but that you must scroll on your screen display to view WILL be included in the export.

Note:  This option works with the Expand All Page-By Fields to determine what output data is included in the PDF format for printing.

Page Header and Footer

This option allows you to customize the header and footer that will appear on each page of the PDF output. When you click this button, the Page Header and Footer Editor is presented. The setup allows you to specify a left, center and right header and/or footer.

You may type in static content and/or specify dynamic content based on Auto Text selections for the header and/or footer. There is a drop down list of system defined auto text values (e.g., Report Name, User Name, Filter Details etc) that you may select to insert in the header (e.g., when you select Report Name to be placed in the header, the insertion text is formatted as &[Report] and instructs the application to insert the name from the report definition).

Report Header

This option allows you to customize the report header that will appear at the beginning of the PDF output. When you click this button, the Report Header Editor is presented. The header setup allows you to define one header.

You may type in static content and/or specify dynamic content based on Auto Text selections for the header. There is a drop down list of system defined auto text values (e.g., Report Name, User Name, Filter Details etc) that you may select to insert in the header (e.g., when you select Report Name to be placed in the header, the insertion text is formatted as &[Report] and instructs the application to insert the name from the report definition).

Scaling

This option specifies how the output is to be scaled or sized to fit on the PDF page. There are two options as follows:

Adjust Font to a percent of the original size - when using this option, you manually enter a percentage amount (e.g., 50% of original size). This will resize the font to the corresponding percentage prior to exporting to PDF.

Fit to Page - with check boxes for All Rows and All Columns - when using this option, you check or uncheck the All Rows and/or All Columns. This will fit the specified rows/columns on one page.

Print the grid and graph on the same page

This option handles the export of reports that are currently in Grid and Graph view to PDF. When checked, the grid and graph will be output on the same page in the PDF. If not checked, the grid and graph will be exported to separate pages.

Orientation

This option specifies the orientation for the exported PDF output. The options are Portrait (e.g., standard paper printing in 8.5" by 11") or Landscape (e.g., standard paper printing in 11" by 8.5").

Print cover page

This set of options allows you to specify whether a cover page is output to the PDF with the report. When checked, a cover page is included when creating the PDF output for the report. If not checked, the report will output to PDF with no cover page. If you have enabled the cover page to print the following parameters are enabled for selection:

Details - you may choose to output just the Filter Details or print the full Report Details. When you select the Report Details to print, only those report elements enabled in the Report Details setup for the report are included.

Location - you may specify to output the cover page contents before or after the report content.

Expand all page-by fields when printing

This option allows you to specify what is included in the PDF output when using attributes in the Page-By panel. When checked, all combinations of page-by attribute values are included in the PDF output. If not checked, only the current page-by attribute values are used for the PDF output. If you are not expanding the PDF output to include all page-by attribute combinations, you will not be outputting the entire report.

Paper Size

This option specifies the default paper size for the PDF output. This field provides a drop down list box with all available paper sizes supported by the application.

Margins

This set of options allows you to specify the margins for Top, Bottom, Left and Right. The values entered are in inches.

Maximum Header Size

This option allows you to specify the maximum amount of space reserved for the headers you have defined for the PDF output. If the header is larger than the allocated space and the content needs the space, the full header will be output. If the content requires the space, the header is truncated to only the amount of space specified in this parameter.

Maximum Footer Size

This option allows you to specify the maximum amount of space reserved for the footer you have defined for the PDF output. If the footer is larger than the allocated space and the content does not need the space, the full footer will be output. If the content requires the space, the header is truncated to only the amount of space specified in this parameter.

Use bitmaps for graphs

This set of options determines the format of graphic file used for embedded graphs and the quality for the graphic file when using the bitmap format.

Use bitmaps for graphs - this option specifies the format.  When checked, the graphs are exported to the PDF file in bitmap format. If not checked, the graphs are exported to the PDF file in vector format.

Use draft quality for graphs - if you have checked this option there is a secondary setting that determines if the bitmap format is draft or high quality. When checked, the size of the bitmap graphic is of a lower quality and the resulting PDF file is a smaller size. If not checked, a high quality bitmap image is used and the resulting PDF file is a larger size.

Embed Fonts

This option allows you to specify if you wish to embed the fonts from the report definition in the PDF output. This allows you to use the fonts defined in the report even if these fonts are not installed on your computer. When checked, the fonts are embedded in the PDF output for viewing and printing. If not checked, the fonts are not embedded and your computer will use the default font for view and printing.

Show options when printing

This option specifies if the application print options are presented when outputting to PDF. When checked, an options page is presented that allows you to modify any of the PDF output parameters defined in this preferences set. This prompt page also has an checkbox option labeled "Do not prompt me again".

Note:  If you choose to display the Options page when you output a report you may modify these default print settings. If you check the "Do not prompt me again" box on the Options page, your PDF preferences setup is updated with the current settings selected for that request and the Options page will NOT be presented going forward. You would have to access the PDF Report preferences again to reset your preferences and re-enable this option to display the Options page when outputting reports to PDF.
